Position Title: Contracts Administrator
Job Summary
HDS is seeking a Contracts Administrator to perform a range of contract administrative duties. Using instruments, which can be a proposal, RFP, initial request or the like, created by the legal and business team, to draft a document (original contract or amendment) by inputting the required information for review and execution by a client. The Contracts Administrator provides support and gathers all information necessary to create and maintain agreements. To be successful in this role, you should possess an in-depth knowledge of contracts and contract terminology.
Main Responsibilities
- Manage all contracts, amendments, CNDA’s, and other related documents.
- Maintain all confidential contract records as required.
- Prepare draft agreements using Company developed legal templates for review by business and/or legal team.
- Proofreads and corrects prepared materials for correct grammar, spelling, punctuation, format, and content.
- Edit and proofread all contracts.
- Collaborate with the business and finance teams to address any client related contract requirements.
- Keep organized books and records of all contracts in the Company’s contract system and any related repository.
- Keep Leadership and the legal team informed of the status of contracts in the pipeline.
- Participate in and follow up on any related contract communications or correspondence.
- Attend business meetings to ensure a working knowledge of current business activities.
- Work with customer support in operations to ensure user access is complete.
- Manage any contract related notices and requests for termination.
- Assist with contract audits.
- Update all records related to contracts in the designated contract management system(s).
- Assist the procurement team with identification of contractual requirements.
Skills
- Proven work experience as a Contract Administrator, Contract Manager or relevant role.
- Ability to understand business concepts.
- Strong verbal and written communication.
- Excellent time-management and organizational skills.
- In-depth knowledge of contracts and contract terminology.
- Keen attention to detail with an ability to spot errors.
- Strong analytical skills and organizational skills.
- Skilled with use of Microsoft Office
- Skilled with use of a Project Management, CRM or similar system.
- Ability to work with highly confidential documents and communications.
Educational
- Business Degree preferred or at least 2 years’ prior experience in a relevant field.
